Event merch checklist 2026 — the rollout playbook

Everything Italy event and brand teams need to specify, order and ship event merch in 2026 — from quantity logic to Milano dispatch to venue handover.

What event merch has to do (and not do)

Event merch is not corporate gifting. The recipient is a fast-moving stranger, the context is loud, and the object needs to perform two jobs: be useful enough to be carried home, and be recognisable enough to be photographed on a feed. The merch that fails events is high-priced and high-utility (someone will skip it for a cheaper bag) or low-quality and low-utility (it gets dropped at the venue).

The sweet spot is high-utility-low-price: €3–8 totes, €4–7 caps, €5–9 water bottles, €4–7 notebooks. Add one premium piece for VIPs/speakers (€25–60 range).

The 10-point event checklist

1. Quantity = expected attendees × 1.15 (15% buffer for staff, walk-ins, photos). 2. MOQ check — most event items 100+ MOQ. 3. Strike-off at week-6. 4. Bulk production weeks 5 to 2. 5. QC and Milano consolidation week 1. 6. Venue dispatch 48–72h pre-event via BRT / SDA / DHL Express Italia.

7. On-venue handover — signed delivery note, photographed inventory. 8. On-event distribution station — staffed, clear signage, item per attendee. 9. Surplus management — return to Milano bonded storage for next event, or donate (we operate a charity-partner programme). 10. Post-event metrics — utilisation survey at +14 days.

Italy venue logistics and IVA 22%

Italy conference venues mostly accept courier deliveries 48–72h before the event but rarely earlier — confirm the receiving window with venue ops in advance. IVA 22% is invoiced on dispatch via SdI (Sistema di Interscambio) under Agenzia delle Entrate; recoverable for VAT-registered Italy clients. Cross-border events (e.g. Italy brand running an event in another EU country) follow intra-EU shipping rules with reverse-charge VAT on cross-border lines. BRT / SDA / DHL Express Italia can do dedicated overnight delivery from Milano for last-minute rushes at a 25–40% surcharge.
