A defensible sustainable-merch checklist for 2026
Twelve audit-ready checks Italy CSR and procurement teams use to qualify a sustainable merch order — from substrate certificates to packaging and end-of-life.
What 'sustainable' has to mean in audit
For CSRD-eligible Italy companies (and their suppliers, by extension), 'sustainable' is no longer a marketing word. It is a chain of documents: scope certificate from the mill, transaction certificate per shipment, OEKO-TEX certificate for the finished product, FSC chain-of-custody for paper inserts. If your supplier cannot produce them at the moment of quotation, downstream they will not exist either.
The 12-point checklist below is what our Milano procurement team uses for every CSR-flagged order. It maps to ESRS E1 (climate), E2 (pollution), E5 (resources) and S2 (workers in the value chain) disclosures.
The 12 checks
1. GOTS scope certificate for organic-cotton substrate. 2. GRS certificate for any recycled-content claim. 3. OEKO-TEX Standard 100 on finished goods. 4. FSC chain-of-custody on all paper. 5. AZO-free water-based inks for decoration. 6. PVC-free print processes. 7. Plastic-free packaging by default (kraft / recycled cardboard).
8. Social compliance — SMETA / amfori BSCI audit on tier-1 supplier. 9. Country-of-origin transparency on every line. 10. Take-back / end-of-life option for retired stock. 11. Annual scope-3 emissions report from supplier. 12. Greenwashing review — no unsubstantiated 'eco' / 'green' / 'natural' wording on the product or insert.
Italy regulatory context
Italy companies in scope of CSRD (large undertakings and listed SMEs from FY 2026) need supplier-side scope-3 data. We supply per-order emissions estimates and certification copies with every invoice routed through SdI (Sistema di Interscambio) under Agenzia delle Entrate. IVA 22% applies normally. For public-sector tenders in Italy, several authorities now require GOTS, GRS or equivalent certification as a pass/fail criterion — quoting without certificates disqualifies the bid.
FAQ
Do I need all 12 checks every time?
Public-sector and CSRD-scope orders — yes. SME marketing orders — at minimum 1, 3, 5, 7.
What's the cost of full certification?
Typically +18–28% on substrate; certificates themselves are supplied free with the order.
Can I claim carbon neutrality?
Only with an organisational-level certified offset programme — never per-product.
What about end-of-life?
We operate a take-back scheme for retired stock — collection from Milano and partner-textile recycling.
Is OEKO-TEX enough on its own?
No — OEKO-TEX is chemical safety only. Combine with GOTS or GRS for substrate claims.
