Why keeping a structured archive of every Italy event merch run pays off for the next three years.

Most event teams in Italy repeat the same costly mistakes — re-sourcing the same SKU, re-doing artwork that already exists, ordering wrong sizes — because nothing is archived between events. A simple post-event merch archive (PEMA) per event captures the artwork, the supplier, the size curve actually sold-out, the leftover stock and the NPS by item. Two events in, the archive starts paying.

Structure matters. Each PEMA entry should have: a single source-of-truth PDF, the source vector artwork, supplier name and contact, lead-time actual vs quoted, sustainability claims with certificates, on-site photos, leftover stock count and a one-paragraph retrospective. Tag each entry with event type, audience type and Milano/regional location. Filter on those tags before the next event brief.

We host PEMA per client in the admin panel with file versioning and export to CSV. Minimum seven years for IVA 22% records. We default to ten and offer indefinite for premium accounts.
