The Bologna Jazz Festival — organised by the cultural association of the Bologna Jazz Festival with contributions from the Comune di Bologna, Regione Emilia–Romagna, Ministry of Culture, Bologna Welcome, ICE Trade Agency and the partner clubs circuit — is one of the reference jazz festivals of the Italian music calendar. Each year, in the eight–week window from October to November, the festival brings to the Teatro Duse, the Teatro San Leonardo, the Covo Club, the Bravo Caffè and other historic centre venues a programme that combines concerts of Italian and international artists, evening jam sessions, panels on the jazz industry, ensemble masterclasses, artist–audience meetings, record launches and retrospectives on musicians of the past. The event is attended by established and emerging jazz musicians, record labels and independent music distributors (Cam Jazz, ECM, Auand, Tǔ Music, Clean Feed), partner festivals of the European jazz circuit (North Sea Jazz, Umbria Jazz, Torino Jazz Festival, JazzFest Wien, Jazzkaar), jazz club promoters, music trade press (Jazzitalia, Musica Jazz, Jazzwise, Down Beat), booking agencies, music photographers, specialised radios (Radio Capital, Radio 3 Rai) and corporate sponsors accompanying the festival with their own merchandising that is consistent with their brand but respectful of the music frame.
For musicians presenting a record or a tour the merch programme is structured along several lines: backstage gifts after the concert, materials for the merchandising table at the Teatro Duse foyer, welcome packs for the partner labels following the tour, gadgets for the music press, items for the public of the jam sessions and the clubs. For record labels accompanying an artist the kit must respect the tour guidelines, integrate with already printed press material and reach destination within the concert week.
Four audience tiers, four distinct kits
The musician performing at the Teatro Duse needs a discreet, portable kit: water-based screen-printed canvas shopper, bilingual agenda, ballpoint pen, leather folder for press materials, personalised label with the artist’s name and concert date. The record label following the Italian tour requires a more structured programme: leather folder, bilingual agenda, festival catalogue, contesting musician sheets, multilingual labelling (Italian, English, French, German, Spanish). The jazz club promoter hosting an evening of the calendar receives co–ordinated materials: co–ordinated shopper, calendar bookmark, co–ordinated window cling, small branded stationery. The public attending the jam sessions and clubs expects a co–ordinated and portable memento: canvas shopper, festival bookmark, co–ordinated pencil, small quality cartotecnica.
Production on Italian supply chains
For a merch programme tied to a musician or a label presented at the Bologna Jazz Festival, our operating hub manages the full chain. We receive the label’s master graphics (AI, EPS, PDF/X-4 with CMYK images at 300 dpi, FOGRA39 colour profile) and adapt them to the different customisation techniques: water-based screen printing on GOTS certified organic cotton for tote bags and shoppers, letterpress printing on FSC certified paper for programme booklets and festival catalogue, laser engraving on Scandicci small leather goods for artist and label folders, relief printing on paper for catalogue covers, laser marking on Maniago stainless steel for key rings and small accessories. The pre-production physical sample with Pantone colour map and technical data sheet travels on Italian supply chains (Scandicci leather, Maniago steel, Fabriano paper, Collodi wood for small objects, Como silk for ribbons) and the delivery arrives at a Bologna centre hotel, the label’s Bologna address or a consolidation warehouse in the Bolognina area, on slots confirmed by the label contact.
Why the Emilia hub matters
Most labels and musicians managing a merch programme around the Bologna Jazz Festival coordinate their Italian operations from Bologna, Milan or Rome. The Emilia hub — with consolidation warehouses in Bolognina, Saragozza and San Donato — allows us to receive the graphics files from the label team, route the pre-production sample on Italian supply chains and ship the lot to a centre hotel, the Teatro Duse or the partner club on a tight courier window, twenty-four hours from Emilia–Romagna. For programmes combining an Italian label and a European partner we manage bilingual materials (Italian and English at minimum) and, on request, full multilingual release with translations aligned to ISO 17100. For programmes pairing the Bologna Jazz Festival with Umbria Jazz, Torino Jazz Festival or North Sea Jazz we replicate the logistics on both dates with a single operating contact.
